Q:  When is a Renewal Offer available in the CRM?


A:  An Offer to renew will be available in the APOLLO CRM tab 60 days before the policy expires.


You may click on the renewal application in the CRM to process.  Any changes in class of business, operations, revenue, etc. must be updated on the application.  All underwriting questions must be reviewed.


If the underwriting is still acceptable, your quote will be finalized to present to your client.  You may proceed to the checkout page to apply payment to bind the renewal.


You will continue to receive email notifications about the renewal until the policy is either bound or lapsed in the CRM.

 

Q:  Will my policy renew with the same policy number?

 

A:  Yes, as part of our commitment to improve the renewal experience, the policy will renew under the same policy number.

 

Q: Why didn’t my email renewal offer include a quote?

 

A:  In some cases, APOLLO cannot generate a renewal offer with a quote automatically.  This may be due to a change in our class of business options, changes to the application underwriting questions, or other insurance program changes since the last term.  When this happens, the renewal quote is not automatically generated.  You will continue to receive renewal email notifications reminding you to take action on the APOLLO portal.  However, the application must be manually reviewed by the Broker and policyholder to ensure accuracy.  If the underwriting criteria is acceptable, you will receive an instant quote to share with the policyholder.

 

Q:  What if I see the Refer or Illegible “Rocketman” message when working on an application to renew an APOLLO policy?

 

A:  First, visit the Application Details page.  If you provided an answer that did not meet the underwriting criteria, you will likely see “Ineligible” beside the question.  If you need to update any question on the application, you may return to the application and update to ensure all answers are accurate.

 

If you cannot locate the “ineligible” reason on the application, reach out to our Live Chat team.  They can have a look at the application with you to help troubleshoot.

 

In some cases, our Broker Success team may be able to refer the application to the insurer for additional approval.  This process can take a few days before a decision from the insurer is made.

 

Q:  What if my client requires higher limits to renew than those offered on the portal?

 

A:  We want to grow with your clients.  If your clients require higher liability or content limits to renew, than those available in our portal, please open an endorsement request for our team to review.  If we can secure an agreement with the insurance carrier, our team will respond with the quote.

 

You will need to confirm that the client accepts the additional charge.  This change will be processed manually once approval for payment has been confirmed.

 

Q:  How do I stop receiving a renewal email reminder?

 

A:  In order to stop a renewal reminder email sequence, the renewal must be “declined”.  To do this, you can click the “Decline Renewal” button on the renewal email.  When you select this option, you will be canceling the renewal.  The renewal link shall be deactivated.  A confirmation email will be sent following a “Decline Renewal” for your records.

 

Q:  What if the renewal offer has expired?

 

A:  A renewal cannot be bound once the renewal link has expired.  A new application must be completed to re-apply to APOLLO.  A request for “back dated coverage” is not available.

 

Q:  What happens if APOLLO cannot renew due to a claim?

 

A:  If a claim has occurred during the policy term, our insurance partners will review the facts of the claim as well as the underwriting criteria for that specific product.  If it is determined that the insurer cannot stay on risk, an email will be sent to the Broker 70 days before the renewal is set to expire to advise there will be no renewal offer.

 

Q:  How do I locate the Application Details page to view my renewal?

 

-Click on the CRM tab.  All quotes for new business and renewals are saved under the CRM tab.

-Once you locate you renewal quote, click on the Application DETAILS which is in red font.

-Now, you are in the Application page to view the details of your quote.
